Video calls changed how we work, and most of the time they're enough. But ask anyone who has closed a major deal, launched a partnership or turned a supplier into an ally, and they'll usually tell you the turning point happened in a room: across a table, at a stand, over a coffee nobody planned.
The meeting you can't schedule
A video call has an agenda, a start time and an end time. That's its strength, and its limit. Some of the most valuable conversations in business are the ones nobody booked: the introduction in a corridor, the question asked after the presentation, the person at the next stand who turns out to have exactly the problem you solve. Those moments only happen when people share the same space.
Trust is built face to face
People buy from people they trust, and trust grows faster in person. You read the room, you notice hesitation, you see how a team works together. A handshake doesn't replace a contract, but it often decides who gets one.
Two days that do the work of months
That's why trade shows still matter. In two days on a show floor, you can meet prospects, clients, partners and competitors that would take months to reach one call at a time. Everyone is there for the same reason, with time set aside to talk.
Making every trip count
If travel is an investment, it should be managed like one. A few habits that make the difference:
Book early, stay close. Hotels near major venues fill up and rise in price as an event approaches. Staying within walking distance saves time and taxis every day.
Plan for change. Meetings move and flights get cancelled. Choose fares with the flexibility the trip really needs, and know who to call when plans shift.
Keep it in one place. Flights, hotels, transfers and receipts in one app means less admin before the trip and an easy expense report after it.
Have someone on call. Things go wrong at 2am in another time zone. A real person who can rebook you in minutes is worth more than any app feature.
